What to expect on moving day

From the confirmation three days before to the survey ten days after, this is how a Spartan local move runs, step by step.

How booking works
  1. Three days before: final confirmation. We confirm your date, addresses and arrival window. Tell us now about any change, an extra stop, or a building that needs a certificate of insurance.
  2. 7:00 AM: the trucks go out. Every truck is dispatched at 7 AM and we aim to reach you as early in your window as we can. If you prefer, we can aim for the later part of the window.
  3. 30 minutes out: the crew calls. If someone else will meet the team, give us their number ahead of time and we put it on the work order.
  4. Arrival: you sign the agreement. The foreman opens your Agreement for Moving Services on a phone. You review it, choose your valuation coverage, initial and sign. If you had an on-site inspection, it carries your not-to-exceed price. A PDF copy is emailed to you.

Moving day in brief

Your crew arrives in a morning window, 8 to 10 AM in the South Bay and Peninsula or 9 to 11 AM in San Francisco and the East Bay, and calls you 30 minutes before they get there. You sign the moving agreement on the foreman's phone, the crew protects your floors and wraps the furniture, loads, drives and unloads. At the end you walk through with the foreman and pay on his phone. No deposit, nothing to pay before the move.

  5. Protect and wrap. Carpet runners and blankets go down on floors and stairs (shoe covers on request). Furniture is wrapped in moving blankets, and beds, sectionals and dining tables are taken apart.
  6. Load and drive. The crew loads the 26 ft truck. If your two addresses are more than 10 minutes apart, the drive between them is billed twice under California's double drive time rule; the drive to your first address is never billed.
  7. Unload and set up. Furniture goes where you want it and the pieces we took apart are put back together. TVs can be connected and set up, but never mounted on the wall.
  8. Final walkthrough. Before the crew leaves, you and the foreman check the furniture, confirm everything arrived, and make sure the truck is empty. You sign the completion.
  9. Payment on the foreman's phone. The total is the hours worked times your rate, plus materials used. Pay by cash, money order, Visa or Mastercard (3% card fee); you can split it between methods. You get a receipt by email.

East Bay (Alameda and Contra Costa)9 to 11 AM

Afternoon starts use a wider 12 to 4 PM window, because the crew comes from a morning job. They depend on the day's schedule, so ask us when you book. The crew always calls 30 minutes before arriving.

Have these ready before the crew arrives

  • Small items packed in sturdy, sealed boxes. We do not move plastic bags.
  • Fragile items boxed, including TVs, lamps and mirrors, unless you chose a packing package.
  • Dresser drawers and filing cabinets emptied. Clothes can stay in for now; the foreman decides on site whether it is safe to move them as they are.
  • Valuables and important documents packed and carried by you.
  • Fridge and freezer food moved separately. We do not move perishables or anything that can leak.
  • Someone from your side present when we disconnect a washer, dryer or fridge with water or gas lines.
  • About 40 ft of legal curb space for the truck and ramp. A double-parking citation is added to the bill. In San Francisco, see parking permits.
  • Your building's elevator reserved, if it takes reservations. Elevator wait time is billed as job time.

How the time is counted

You pay for the time the crew works on your move, with a 3-hour minimum and 15-minute increments after it, plus any double drive time. Stairs, elevators and long carries are not separate fees, but they add time. If you did not pick a package, the foreman can compare at the end whether the Silver or Golden package would cost you less, and switch you if it does. Full breakdown: how we price a move. Typical durations: how long a local move takes.

Tips

Tips are not part of the rate and are never required. If you want to tip, it goes straight to the movers: in cash, by Venmo to a mover, or added to your card payment on the foreman's phone. 10 to 20% of the total is customary. More: tipping movers in the Bay Area.

After the move

About 10 days after a local move we text you a short survey: five quick ratings from 1 to 5 and room for a comment. It goes straight to David. If anything was damaged or seems missing, call us. Our crews organize the trucks at the end of every move and the start of every day, and David checks with the foreman and gets back to you directly. Our terms give you 9 months to file a claim in writing. Coverage details: license, insurance and coverage.

Questions and answers

What time will the movers arrive?

Between 8 and 10 AM for moves starting in the South Bay or Peninsula, and between 9 and 11 AM in San Francisco and the East Bay. The crew calls 30 minutes before arriving.

Do I need to be home the whole time?

Someone needs to sign the agreement at arrival, be there for the final walkthrough and pay at the end. If someone else will meet the crew, send us their phone number and we add it to the work order.

When do I pay?

At the end of the move, on the foreman's phone. There is no deposit on local moves. We accept cash, money order, Visa and Mastercard, with a 3% fee on cards.

Do I sign a contract?

Yes. California requires an Agreement for Moving Services. You sign ours electronically on the foreman's phone when the crew arrives, and a copy is emailed to you.

Will the movers take apart my bed?

Yes. Disassembly and reassembly of beds, sectionals and dining tables is included, and the crew brings the tools.

Can the crew mount my TV?

We can take a TV off the wall if it does not need specialized tools, and connect and set it up at the new home, but we never mount TVs.
