Getting your certificate of insurance
3 itemsWe need just three things from you:
- The HOA or management company name, exactly as it should appear on the certificate
- Its mailing address
- Its email address
We submit the request to our insurance agent and send you the certificate once it is ready. If your building sends a sample certificate or special instructions, forward it with the request so the agent can match it. If the origin and destination buildings both need one, or the management company wants a separate copy, ask and we will request each one.
What the certificate shows, from our current policy: general liability of $1,000,000 per occurrence and $2,000,000 aggregate, auto liability $1,000,000, umbrella $1,000,000, cargo $100,000 per loss, and workers' compensation $1,000,000. Spartan is licensed in California under Cal-T #0190543 and holds U.S. DOT 1783494.
Building rules we plan around
4 items- Move windows. Many associations only allow moves on certain days or hours, and some do not allow movers on weekends. Get the date approved by management first, then confirm it with us. We cannot hold a date without a confirmation.
- Elevator reservations. Book the elevator for the full window. Waiting for a shared elevator is part of the completion time and is billed.
- Floors and common areas. We lay floor protection and runners, and our movers do not use dollies inside homes. Shoe covers are available from the foreman on request.
- Loading docks and garages. Our 26 ft truck needs about 40 feet. If the dock or garage clearance is limited, send the address and David will check access before move day.
A simple order of events
5 items- Get your move-in or move-out packet from management and note the allowed hours.
- Send us the COI details and any sample certificate.
- Get the date approved by the building, then confirm with us.
- Reserve the elevator and the loading area for the whole window.
- On move day the team calls 30 minutes before arrival.
The paperwork comes before the boxes
In a condo or HOA building, the move starts with the management office. Most associations will not book the elevator or open the loading area until the mover's certificate of insurance (COI) is on file, and some want their own wording or their management company named as well. Spartan Moving provides that certificate at no charge, and we have done it many times: in 2026 our certificates were reissued for 301 Bay Area buildings and associations where we have moved residents.
The move itself is priced like any local move with us: a team of 3 movers and a truck at $175 per hour, every day, with a 3-hour minimum. The certificate is free.
What a condo move costs
2 movers $145 per hour for very small moves, 3 movers $175 per hour as our standard team, and 4 movers $235 per hour for a 3-bedroom over 1,800 sq ft or 4 bedrooms and up. The minimum is 3 hours, then 15-minute increments. No fee for the COI, stairs, elevators, mileage or fuel. Double drive time applies when the two addresses are more than 10 minutes apart, per California regulations.
Discounts: 7% off the final price for returning customers, 5% when a friend or past customer referred you, and 7% when your real estate agent referred you. Referral discounts need the referrer's name or phone number.
Coverage for what is inside your unit
The building's certificate protects the association. Your own belongings are covered by basic valuation of $0.60 per pound per article, included free on every move. If you want more, full-value protection is sold by Baker International at bakerintl.com; use our account ID 17421 when you buy. Valuation is not insurance, and the Baker policy is your own, bought directly, not a Spartan charge.
Questions and answers
Do you charge for a certificate of insurance?
No. The COI is free. We need the HOA or management company name, its mailing address and its email.
How fast can I get the COI?
We send the request to our insurance agent once we have the details and forward the certificate when it is ready. Send the details as soon as you book so it is in hand before the building's deadline.

General liability $1,000,000 per occurrence and $2,000,000 aggregate, auto $1,000,000, umbrella $1,000,000, cargo $100,000 per loss, and workers' compensation $1,000,000.
My building does not allow weekend moves. Do you move on weekdays?

Basic valuation at $0.60 per pound per article is included free. Full-value protection is available from Baker International at bakerintl.com with our account ID 17421.
Can my building get its own copy of the certificate?
